Chef Tai | Adding Form Link to Calendar

 

 

Overview:

This SOP outlines the step-by-step process for adding a form link to Chef Tai's calendar events. This ensures that all relevant information is easily accessible for scheduled events, streamlining the workflow for upcoming bookings.


Step 1: Verify Payment and Contract

  1. Check if the client has successfully completed payment and signed the contract:
    • Navigate to the "Upcoming Events" section in Dubsado.
    • Confirm that the client’s status is updated to Paid and the Contract is signed.

Step 2: Locate the Client’s Form Link

  1. Go to the Forms section within the client’s Dubsado project.
  2. Click on the Proposal Form and select View.
  3. Copy the form link to your clipboard for use in the calendar event.

Step 3: Access Chef Tai’s Calendar

  1. Open Chef Tai’s Google Calendar or the designated calendar system being used (Morgen).
  2. Locate the specific event for the client:
    • Use the client’s name and event date to ensure you are selecting the correct calendar entry.

Step 4: Add the Form Link to the Event

  1. Open the calendar event and locate the Description field.
  2. Paste the form link into the Description section.
  3. Optional: Remove any unnecessary links, such as the Invoice Link, as it is not relevant at this stage.
  4. Save the updated event to ensure the changes are applied.

Important Notes:

  • Automation: Unfortunately, this step cannot be automated and must be completed manually.
  • Double-Check: Always verify that the correct form link has been added to avoid any errors.

Troubleshooting:

  1. If you cannot find the calendar event:

    • Check Dubsado for the event details and confirm the date and time.
    • Revisit Chef Tai’s calendar to locate the corresponding entry.
  2. If the calendar does not sync properly:

    • Ensure that the client’s project is correctly linked to the calendar.
    • Refresh the calendar to confirm the event appears.

Final Steps:

  1. Ensure the form link is saved and visible in the calendar event.
  2. Notify the relevant team members if additional updates are needed.
