Purpose
This SOP outlines the process for sending menu proposals to clients for Chef Tai, ensuring accuracy, consistency, and professional communication.
Steps to Send a Menu Proposal
1. Access Dubsado
- Log in to Dubsado under the Chef Tai account.
- Navigate to Projects and locate the client’s name in the list.
2. Preparing the Proposal Form
a. Edit the Proposal Form
- Go to Forms within the client’s project.
- Locate the Event Proposal and Custom Menu form:
- Click Edit or View to open it.
b. Update Client Information
- Copy and paste the client’s details (name, event details, etc.) provided by Chef Tai into the appropriate fields.
- Format the information correctly to maintain professionalism.
c. Update Package Information
- Click Edit Package:
- Update the package details based on the pricing provided by Chef Tai.
- If it’s a per-person rate, input the quantity and per-person price.
- If there’s a flat rate, input the total price and include the New Jersey tax.
- Update the description to reflect the package, e.g., Event Total.
- Save changes.
d. Review the Proposal Form
- View the updated form to confirm all details are accurate:
- Verify the pricing, taxes, and descriptions.
- Ensure formatting and details align with the client’s expectations.
3. Sending the Proposal Email
a. Check the Workflow
- Go to the client’s Workflow and locate the Event Proposal and Custom Menu email template.
- Confirm that the email template includes:
- A professional greeting.
- Clear instructions for the client to review the proposal and complete the form.
b. Add Menu Links
- If sending a specific menu (e.g., appetizers or dinner):
- Copy the links for the Appetizer Menu and Dinner Menu from the appropriate form.
- Format the links in the email body using the link button in the email editor.
- Center the links for a clean and organized look.
c. Review the Email
- Confirm the email content matches the client’s event details and includes the correct proposal links.
- Use the subject line: Custom Menus by Chef Tai.
4. Send the Proposal
a. Force Workflow Execution
- In the Workflow, hit Approve and Force Now to immediately send the proposal email.
- Wait a moment for the email to be processed and sent.
b. Verify the Email Sent
- Go to the Emails section in Dubsado to confirm the email was sent.
- Check that the client’s email includes the proposal form, links, and additional instructions.
5. Post-Sending Tasks
a. Update the Task
- Mark the task as completed in the task management system.
- Optionally, inform Chef Tai that the proposal has been sent.
b. Monitor Workflow Progress
- Ensure the workflow automatically updates the client’s status from Lead to Proposal Sent.
- Refresh the client’s project page to verify the status change.
c. Follow-Up
- Once the client submits their form, review the updates and revise the invoice accordingly.
- Continue communication with the client to finalize details and confirm the event.
Notes and Tips
- Clarifications: Always clarify any doubts with Chef Tai before finalizing the proposal.
- Client-Specific Adjustments: Tailor the menu and proposal to the client’s preferences and event requirements.
- Testing: Ensure links and email formatting are tested before sending.
- Professionalism: Maintain professional and clear communication in all emails and forms.
