Setting up Airtable Interface

 

Objective: To create a new team access board for a new team member and integrate it with the ClickUp Command Center.


1. Creating the Team Access Board in Airtable

  1. Access the Team Access Board:

    • Open Airtable and navigate to the "Team Access" section.
    • Locate an existing team member's record.
  2. Duplicate an Existing Record:

    • Right-click on an existing record and select Duplicate.
    • Rename the new record with the new team member's name.
  3. Update the Information:

    • Navigate to the data section for the team members.
    • Scroll to the right to find the data table for pay and access details.
    • Duplicate an existing row and replace the old name with the new team member's name (e.g., Kayla).
    • Input the new member’s pay rate and update any necessary information, ensuring consistency with other team members in similar roles.
    • Assign the correct pay layer based on their rate (e.g., same as Romina or another team member).
  4. Configure Filters:

    • Update all filters in the team access board:
      • Replace the old team member's name with the new one in filters for "Pay to Date" and "Passwords Shared".
    • Double-check that the board reflects the new team member's data correctly.
  5. Publish the Board:

    • Click Publish and confirm the changes by hitting publish again.
    • Verify the board is now live.

2. Sharing the Team Access Board

  1. Enable Sharing:
    • Go to the "Share Publicly" option.
    • Select Share Read-Only and enable sharing.
    • Copy the embed code (not the link, as the embed code works better).

3. Embedding the Board in ClickUp

  1. Access ClickUp:

    • Open the ClickUp instance and navigate to Spaces > Royal Hub > Command Center.
  2. Create a New View:

    • Add a new Website View and select the Embed option.
    • Paste the copied embed code into the provided field.
    • Save the view and rename it with the new team member's name (e.g., Kayla).
  3. Share Access:

    • Right-click on the new view and select Share.
    • Share the view with the new team member, granting them read-only access.
    • Verify that they can view, duplicate, and favorite the board but cannot edit.

4. Final Steps

  1. Inform the Team Member:

    • Notify the new team member during onboarding that the view is accessible and explain how they can use it.
  2. Document Access:

    • Ensure the new team member's access and information are accurately recorded in their onboarding documentation.
  3. Verify Functionality:

    • Confirm that all links, embed codes, and filters are functioning as expected.

  • This process ensures seamless onboarding and access to essential resources for new team members while maintaining data integrity and security.
  • Always cross-check pay rates, filters, and shared access to avoid errors.
